Attendance

Track time, shifts, and attendance rules in Qrew HR, including check-ins, geo-fencing, late marks, overtime, and regularisation.

Attendance in Qrew HR is built around three things: shifts (when people should work), rules (how lateness, half-days, and overtime are counted), and check-ins (when people actually work). Set the first two once, and daily attendance is calculated for you and passed to payroll.

For a product overview, see Attendance Management.

1. Create shifts

  1. Go to Attendance → Shifts and click Add Shift.
  2. Enter a name, start and end time, and break duration. Example: "General Shift", 9:30 AM–6:30 PM, 1-hour break.
  3. Set weekly offs, for example Sunday, or the second and fourth Saturday.
  4. For rotating teams, create each shift separately and use a shift roster to assign them by week.

2. Set attendance rules

  1. Open Attendance → Rules.
  2. Set a grace time, for example 15 minutes after shift start before a late mark.
  3. Decide how late marks add up, for example three late marks in a month count as a half-day.
  4. Set minimum hours for a full day and a half-day.
  5. Turn on overtime if needed and set when it starts counting, for example after 9 hours of work.

3. Choose how people check in

  • Web: employees click Check In on their dashboard.
  • Mobile app: employees check in from their phone. Useful for field and hybrid teams.
  • Geo-fencing: under Attendance → Locations, draw an area around each office or site. Mobile check-ins are accepted only inside that area.
  • Attendance devices: if you use biometric devices, see Integrations.

4. Assign shifts and rules

  1. Assign shifts to a location, a department, or individual employees.
  2. Rules can be the same for everyone or differ by group (for example, stricter rules for a plant than for a sales team).

5. Handle missed punches and corrections

  1. If an employee forgets to check in or out, they raise a regularisation request from their attendance calendar with a reason.
  2. The request goes to their manager for approval.
  3. Once approved, the day's status updates automatically.

6. Review and close attendance for payroll

  1. Before running payroll, open Attendance → Summary for the month.
  2. Check for pending regularisations and unapproved overtime.
  3. Lock the month. Payable days and overtime then flow to payroll.
Tip: Set a monthly cut-off (for example, the 25th) for regularisation requests so payroll isn't held up by late corrections.

Common questions

Why was an employee marked absent even though they worked?

Usually a missed check-out or a check-in outside the geo-fence. Ask them to raise a regularisation request.

Can remote employees check in without a geo-fence?

Yes. Leave geo-fencing off for remote employees or create a rule group that allows check-in from any location.

How are holidays and leave shown in attendance?

Approved leave and company holidays appear on the attendance calendar automatically and are not counted as absences.

Can I export attendance?

Yes. Attendance reports can be filtered by date, department, and location and exported. See Reports.
