Leaves

Manage leave requests and balances in Qrew HR: check what you have, apply for leave, track approvals, and cancel a request.

This article is for employees. It explains how to check your leave balance, apply for leave, follow your request, and cancel or change it. You can do all of this on the web or in the mobile app.

If you are an HR admin setting up leave policies, read Leave Management instead.

1. Check your leave balance

  1. Sign in and open Leave → My Leave, or tap Leave in the mobile app.
  2. You will see each leave type (for example Casual Leave, Sick Leave, Earned Leave) with the days available and days used.
  3. Click a leave type to see its history: what was credited, what you used, and any carry forward from last year.

Some leave types build up over time. For example, if Earned Leave accrues at 1.25 days per month, you will have 5 days after four months.

2. Apply for leave

  1. Click Apply Leave.
  2. Choose the leave type.
  3. Pick the start and end dates. Choose half-day if you only need the first or second half.
  4. Qrew HR shows how many days will be deducted. Weekly offs and company holidays in the range are usually not counted.
  5. Add a short reason and attach a document if your policy needs one (for example, a medical certificate for longer sick leave).
  6. Click Submit.
Tip: Check the Team Calendar and the holiday list before applying. Planning around colleagues' leave makes approval quicker.

3. Track your request

  1. Your request appears under Leave → My Requests with the status Pending.
  2. It goes to your reporting manager, and to HR as well if your policy has a second approval step.
  3. You get a notification when it is approved or rejected. Rejected requests show the approver's comment.
  4. Approved leave is added to your attendance calendar automatically.

4. Cancel or change a request

  1. Open Leave → My Requests and select the request.
  2. For a pending request, click Withdraw. No days are deducted.
  3. For an approved request, click Request Cancellation. Your manager approves the cancellation and the days go back to your balance.
  4. To change dates, cancel the original request and apply again with the new dates.

5. Apply for comp off or other special leave

If your organization offers compensatory off for working on a holiday or weekly off, you first claim the comp off (it needs approval), and then apply for it like any other leave. Special leave such as maternity, paternity, or bereavement leave may only appear once HR has made you eligible.

Common questions

Why don't I see a leave type my colleague has?

Leave types can depend on location, employment type, or length of service. Ask HR if you think you should be eligible.

Can I apply for leave in the past?

Yes, if your policy allows backdated requests. They still need manager approval.

What happens if I take more leave than my balance?

Depending on your policy, the extra days are either blocked or treated as loss of pay (LOP), which reduces that month's salary.

My balance looks wrong. Who do I contact?

Raise a ticket through the helpdesk or contact your HR team. They can check credits and adjustments.
